How to follow up on auto repair estimates without losing the details.

A good estimate follow-up reminds the customer what is awaiting a decision, makes it easy to ask a question and preserves the shop’s normal approval process. AI can help draft the message; your advisor checks the facts.

1. Give every estimate a clear status.

Use statuses such as draft, sent, awaiting customer response, approved, declined and superseded. Keep the estimate number, version, date, vehicle reference and assigned advisor together. Use your shop-management system if it already supports this.

A reminder should only run for the current version that is still awaiting a response. If the estimate changes, the old message must not continue quoting outdated work or pricing.

2. Decide what a follow-up may say.

It may identify the estimate, invite questions and offer a route to your advisor. It should not diagnose a new problem, invent urgency, change the quote, promise parts availability or imply that work is authorized.

Keep diagnosis and technical recommendations with qualified staff. The FTC’s consumer guidance recommends written estimates and customer contact before costs exceed an agreed limit. Confirm the requirements that apply to your shop.

3. Prepare a message your advisor can review.

Hi [first name], [advisor] from [shop] here.
We’re following up on estimate [reference] for your [vehicle].
Do you have any questions about the proposed work?
Please contact us at [approved reply route] when you’re ready
to discuss the next step. We’ll confirm approval and scheduling
through our normal process before work begins.

Include an estimate link only if it is secured appropriately for customer information. Do not put sensitive details into a public URL. Respect the customer’s preferred channel and opt-out requests.

4. Add AI only where it saves verified effort.

Give the assistant approved estimate text and ask it to produce a short explanation without changing facts. Require it to mark missing information rather than fill gaps. Review part names, prices, labor, warranties and dates against the source before using the draft.

Rewrite these approved advisor notes in plain language.
Keep all amounts, dates and stated limitations unchanged.
Do not add a diagnosis, promise, discount or recommendation.
If the notes are unclear, list questions for the advisor
instead of guessing. Return a draft, not a sent message.

5. Stop the reminder when the status changes.

A reply, decline, approval, replaced estimate or opt-out should stop the pending follow-up. Test each case. Assign an owner for messages that bounce or receive an unclear answer.

6. Review outcomes before expanding.

Measure advisor preparation time, correction rate, replies and confirmed authorizations. Count customer complaints and duplicate sends too. A higher reply count is useful only if the process remains accurate and respectful.
