How to organize catering and private-event inquiries.

A good event-inquiry process collects the essentials, reaches the right person and tells the customer what happens next. It keeps a request separate from a confirmed booking.

1. Collect the event basics.

Ask for contact details, preferred date, approximate guest count, event location, catering or private-dining preference and a short description. If you collect dietary requests, label them as requests that require staff review.

Do not ask a customer to submit payment details in a general inquiry form. If a booking progresses, use your approved payment and agreement process.

2. Route to an accountable person.

Send the request to the event manager or named owner. Give them a short summary plus the original message. Keep a record of whether the inquiry has been reviewed, needs clarification or has received a proposal.

Make the website confirmation accurate: the inquiry was received and the team will review it. Do not promise that the date, menu or venue is reserved.

3. Prepare a reviewed reply.

Hi [name], thanks for asking about [event type].
We received your request for [date] and approximately
[guest count] guests. Our team will check availability
and the details before confirming options.
Could you clarify [specific missing information]?
This message does not reserve a date or confirm a booking.

Adapt this draft to your actual process. Do not let AI add menu prices, dietary assurances, discounts or terms that your manager has not approved.

4. Build stop rules into follow-up.

Stop reminders when the customer replies, declines, books or asks not to be contacted. Assign unresolved questions to staff. Confirm that messages reach the same record rather than creating parallel conversations nobody owns.

5. Test before a busy service.

Try an unavailable date, uncertain guest count, duplicate request, dietary question and message missing contact details. Verify that none automatically becomes a confirmed event. Check staff access from the device they normally use.

6. Measure the whole journey.

Track time to first review, missing information, proposals sent and confirmed bookings. Keep preparation time and corrections visible. Look for customer confusion as well as extra inquiries.
